POSITION ANNOUNCEMENT: OFFICE MANAGER

Capitol Land Trust seeks an Office Manager to serve as the initial point of contact for the organization and perform the duties necessary to support and manage the organization’s daily office operations, execute accounting functions and provide outreach assistance. Job responsibilities include managing all aspects of the organization’s office administration, executive director/board support, budget and financial tracking and reporting systems, including managing revenue distribution, expenditures and disbursements. This position is responsible for maintaining the integrity of internal books and reporting.
KEY RESPONSIBILITIES:
- General office duties such as data entry, filing and file management, maintaining data tracking systems, answering phones and managing inventory of supplies
- Assistance with event logistics and planning.
- Provide direct administrative support to staff and board of directors.
- Reconcile bank and brokerage accounts and ensure accuracy of financial records.
- Processing of invoices and payment of bills.
- Payroll processing, including administration of health, dental and pension benefits.
- Prepare financial analysis and reports: monthly (revenue/expense; balance sheet), quarterly (budget to actuals comparison), and grants or other reports as needed.
- Oversee budget development process, including cash-flow projections.
- Manage the tracking and release of temporarily restricted funds and deferred revenue (e.g. Stewardship fund).
- Assist with preparation of annual audit or review and annual tax returns (990).
- Complete and file required quarterly tax returns.
- Develop and maintain accurate financial schedules (e.g. depreciation, prepaids, payroll allocations).
- Develop long-term financial projections, analysis and modeling.
- Implement and maintain effective financial/accounting procedures, and internal controls in compliance with GAAP.
- Evaluate current cash accounting system and manage the transition to accrual accounting.
- Provide staff support to the Treasurer and the Finance Committee.
- Help with special projects as needed
DESIRABLE KNOWLEDGE, SKILLS and ABILITIES:
- Strong communication and interpersonal skills.
- Strong office management and administrative skills.
- Experience with non-profit accounting and financial management.
- Experience with grants financial management and/or fund accounting.
- Ability to create, read, and interpret financial statements.
- Financial analysis and modeling skills.
- Strong communication, attention to detail and time management skills.
- Ability to work independently and be available for occasional evening/weekend meetings and events.
- Ability to take initiative and identify opportunities to improve systems and processes.
- Commitment to the mission and goals of Capitol Land Trust.
- Valid WA drivers’ license and ability to perform out-of-office errands.
QUALIFICATIONS:
- Computer competency including QuickBooks, Microsoft Office applications (especially Excel), internet/email and data management.
- At least 3 years experience in office administration, financial management and accounting.
SALARY/BENEFITS:
Up to $30,000 -- half to full-time, negotiable DOQ. Benefit package included.
